SUMMARY
The Administrative and Instructional Support Assistant will support the day-to-day operations of a nonprofit organization by providing administrative and programmatic support. This role includes scheduling meetings and virtual classes, assisting instructors during sessions, organizing program materials and records, and supporting the Program Manager, metrics tracking, and event coordination. This is an ideal position for someone who is organized, detail-oriented, and passionate about supporting the mission of the organization.
RESPONSIBILITIES
• Assist in developing and maintaining professional relationships with organization's partners and employers.
• Assist in the planning and coordination of meetings and special events (ex: board meetings, programs, program graduation ceremonies, fundraisers, etc.).
• Attend project meetings for the purpose of recording action items and deliverables; create meeting minutes and develop meeting agendas and presentations.
• Track project and grant deliverables, maintain task timeline and report and project status.
• Perform day-to-day administrative duties as assigned, including, but not limited to, data entry, organization, calendar management, and electronic filing.
• Assist with communications projects, including writing of blogs, success stories, gathering social media materials, and newsletter articles.
• Track program metrics to highlight impact of organization's programs on the lives of students with disabilities and partners.
• Attend virtual classes for programs to provide technical and administrative support, as needed.
• Represent organization, in support of Program Manager and Community Liaison, at community events (ex: resource fairs, community fundraisers, and special events), as needed.
QUALIFICATIONS
• Completed or working toward a college degree in a related field (e.g., business administration, nonprofit management, social entrepreneurship, social work, marketing, event planning or other relevant major) or relevant experience.
• Strong organizational and communication skills.
• Able to manage multiple tasks, meet deadlines, and work both independently and collaboratively.
• Professional, courteous, and able to maintain confidentiality.
• Attention to detail and ability to prioritize tasks and information.
• Strong Microsoft Office Suite proficiency. Experience with databases and SharePoint a plus, but not required.
